Switching from Xero
without the panic.

A practical EU-SMB playbook for moving from Xero to Fit Finance in a weekend, without losing your invoice history or your VAT trail.

Most EU SMBs we talk to didn't pick Xero — Xero just happened to them. Their accountant suggested it. They're now paying €30–€60/month for features they don't use, and the VAT export still requires a manual step. If that's you, here's how to move over without the migration becoming a project.

Why people switch (in their own words)

A few patterns repeat across every Xero-to-Fit conversation we have:

  • "My bill keeps going up." Tier creep — you started on Starter, hit the 20-invoice cap, moved to Standard, and now it's €33/month. Add an analytics add-on and you're at €44.
  • "VAT still feels manual." Xero handles UK VAT well; EU VAT (multi-rate, VIES, reverse-charge) is more painful — often requires an add-on or a manual export step.
  • "My accountant uses something else anyway." If your accountant is on a different tool, the integration story between the two becomes its own pain.
  • "I don't speak Xero's language." The product is built for UK/AU/NZ first. Cyprus, Greek, EU operators read translated copy and feel like guests.

What a clean migration looks like

A clean Xero → Fit Finance migration takes one weekend, in three sessions. You don't lose data; you don't have to migrate every historical invoice. Here's the playbook.

Session 1 — Friday evening (1–2 hours)

  1. Sign up for Fit Finance. Free 7-day trial. Card on file via Stripe so you don't get locked out at day 8.
  2. Onboard org. Country, sector, VAT number, default currency.
  3. Export from Xero: customers, contacts, chart of accounts, current open invoices, current open bills. CSV files. Keep them somewhere safe.
  4. Import to Fit Finance. Drag-and-drop the CSVs. The import wizard maps fields automatically; you confirm.

You're now operational. You can issue an invoice tonight if you want.

Session 2 — Saturday (1 hour)

  1. Set up your invoice templates. Logo, branding, default VAT rate, payment terms, footer text.
  2. Configure recurring invoices. If you have monthly retainers, set up the templates here. They take 5 minutes each and run themselves forever.
  3. Set up users and roles. Invite your bookkeeper / accountant / partner if relevant. Second seat free until 31 December 2026 (locked in for life of subscription).
  4. Test one full invoice. Create, send to yourself, mark as paid. Confirm the dashboard updates in realtime.

Session 3 — Sunday (30 minutes)

  1. Decide your historical-data strategy. Most operators don't migrate historical invoices — they keep Xero open in read-only mode until they no longer need to look up old records. After 2 years, cancel Xero entirely.
  2. Update your invoice template URL or PDF in client systems. If you have any customer portal that links to Xero, swap the link.
  3. Tell your accountant. Send them the partner program link if they want to come along: /accountants. 25% recurring commission for them, fewer hours processing your books.

That's the migration. The whole thing. By Monday morning you're operating on Fit Finance.

What about the historical data?

You don't need to migrate it on day one. The clean approach:

  • Year 1 of the switch: keep Xero on a cheap tier as a read-only archive. Your historical VAT records, paid invoices, audit trail are all there.
  • Year 2: you've now got a full year of new data in Fit Finance. The Xero archive is mostly for tax-audit reach-back. Decide whether to keep paying for the archive or export everything to PDF and cancel.
  • Year 3+: all current data lives in Fit Finance. Old PDFs are filed in a folder somewhere. You haven't paid Xero in 18 months.

The math after one year

A typical EU SMB on Xero Standard pays around €33/month, or €396/year. On Fit Finance, you pay €16/month, or €192/year (or €144 on annual). That's €204–€252 saved per year per business, before counting the time you save on EU VAT handling and the realtime visibility you didn't have before.

What you don't get on Fit Finance (yet)

Honest list:

  • No bank-feed integration. We're working on Cyprus banks (Bank of Cyprus, Hellenic, Eurobank) but not shipped yet. Receipt OCR via the AI Suite add-on substitutes for early adopters.
  • No payroll module. If you pay employees through your accounting software, Xero Premium is still where you'd go. Most Cyprus SMBs handle payroll separately anyway.
  • Smaller community / fewer integrations. Xero has thousands of third-party apps. We have a public API, MCP server for AI agents, and the most-needed integrations (Stripe, Resend) built-in. The long-tail integration ecosystem is still building.

Be honest with yourself about whether those gaps matter for your business. For most Cyprus / EU SMBs at €33/mo on Xero, the gaps don't outweigh the savings + better VAT story.
